The Contracts Office supports researchers by preparing and managing the agreements that underpin research at The Royal Melbourne Hospital. 

What to expect when working with the Contracts Office

Having appropriate contracts in place is a key part of the research governance process and helps ensure projects meet legal, risk and compliance requirements.

We take a structured and collaborative approach to supporting research contracts at RMH. When you work with us, we will:

  • review project information to confirm whether an agreement is required
  • identify the most appropriate agreement pathway
  • prepare or review draft agreements
  • support discussions with external organisations where required
  • coordinate agreement execution following completion of governance requirements

We work closely with the Governance Office, Research Finance and RMH Legal Services to ensure agreements meet organisational requirements. 

When might an agreement be required?

Agreements are commonly required for projects involving:

  • collaboration with another organisation or institution
  • clinical trials
  • student research projects undertaken to meet degree requirements
  • sharing data, materials, confidential information or research services with another organisation
  • receiving data, materials or services from another organisation
  • amendments or variations to existing agreements

Contract Kickstarter Form

The Contract Kickstarter Form is used by the Contracts Office to assess contract requirements for:

  • governance applications
  • amendments
  • existing projects requiring additional agreements or contract variations
  • other research-related contract enquiries

The information provided helps the Contracts Office:

  • assess whether any agreements or other contractual arrangements are required
  • identify the most appropriate agreement pathway
  • determine whether an existing agreement can be used or reviewed
  • identify project-specific considerations requiring contractual review

If you have been provided with a draft agreement by a collaborator, sponsor or external organisation, upload it into the form.

For governance applications and amendments, requests via the form are reviewed by the Contracts Office once the relevant application has been received.

Notification of all payments by EFT/direct credit made under this Agreement will be communicated to the Research Accountant by email at: ofrfinance@mh.org.au, with copy to RMHCashier@mh.org.au

Payment notices made under this Agreement will be accompanied with documentation of the calculation of each payment. The documentation from [contracting Party] will specify the following details:

  • RMH Human Research Ethics Committee (HREC) project number;
  • Name of the RMH Principal Investigator;
  • Description of what the payment is for;
  • The milestones completed and/or the number of participants who have completed the respective milestones; and
  • Detail of any partial payments, and/or any other information relevant to the calculation of the payment by the [contracting Party] .

Copies of all payment notices will be sent to the attention of the RMH Research Accountant by email at: ofrfinance@mh.org.au

Signing agreements

The Contracts Office will arrange the signing of all finalised agreements in line with the RMH Delegations of Authority Policy.

The Director, Office for Research, is authorised to sign many research agreements. Where an alternative delegate is required, the Contracts Office will advise accordingly and arrange for execution.
